Document Controller

What is the job?

Working with the design team and other stakeholders, the Document Controller will be responsible for the structure, quality and transmittal/receipt of design documentation.

The Document Controller will establish product document structure and ensure that it is maintained to the required standards. Previous experience of working within a design and manufacturing environment of complex electro-mechanical equipment and control systems will enable the candidate to be a quick starter.

Document Controller shall have experience of implementing document control procedures, managing electronic document management systems.

What will I be doing?

  • Management of Electronic Document Systems.
  • Develop work flows, establish protocols and enable use of good technical document systems.
  • Structure documents and search capabilities within product data management systems.
  • Caretaker of bill of material (compiled by design team) and BOM issue for new products, carefully considering issue and release system.
  • Jointly responsible for managing Engineering Timing Release Schedule (ETRS) with CAD team and procurement teams.
  • Develop customer and site specific documentation.
  • Accountable for maintaining document structure for products.
  • Responsible for quality control of documents issued from Design engineering.
  • Develop quality framework for documents (apart from drawing) released from engineering.
  • Develop systems and maintain traceability for incoming and outgoing documents to/from design teams.
  • Timely and accurate reformat and delivery of data to clients using in-house tools and other software packages
  • Act as an analyst and provide data on document releases in a consistent manner to relevant stakeholders.
  • Generate and maintain transmittal data when documents are issued internally and externally.
  • Liaise, train and audit design suppliers to establish flawless document transactions.

Additional Responsibilities (will be trained in the absence of an experience)

  • Audit Engineering and Production Bill of Material (EBOM & PBOM).
  • Responsible for verification of PBOMs received from suppliers.
  • Preparation and audit of design pack checklist for Critical Design Reviews.

What are you looking for me to have knowledge of?


  • Drive process improvements and optimisation of document delivery
  • Ability to work on tools as Microsoft Excel and (desirably) database to produce metrics and control engineering data release.
  • Ability to communicate with cross-functional teams and suppliers.
  • Sound knowledge of revision control of design documents including drawings and technical documentation.
  • Develop and maintain user guides, develop training systems for engineering teams to improve adherence to documentation procedures.
  • Experience of auditing compliance procedures.

 Preferred (in addition to minimum)

  • Experience of working with SolidWorks PDM Bill of Materials
  • Experience of working with product data management and PLM systems.
  • Migration of data between systems.
